This Privacy Notice sets out how and why we use the personal data you provide to Maths Week Scotland, which will differ depending on how you interact with us.
Who are we?
Maths Week Scotland is a Scottish Government initiative delivered by National Museums Scotland.
National Museums Scotland is located at Chambers Street, Edinburgh EH1 1JF and is a registered Scottish Charity (registration number SC 011130).
For the purposes of data protection National Museums Scotland is the data controller.
How we handle your personal data
1. Schools map
The personal information we collect from you is used solely for the purpose(s) of adding Maths Week Scotland events to our map. The personal data you submit is not made available publicly.
The data will not be shared with any third party and will be held securely in accordance with current data protection legislation.
What we collect? Teacher name; Email address
Why? In order to plot Maths Week Scotland school events on our map.
Legal Bases On the basis of legitimate interests – you have requested that we add your event to our map.
2. Submitting events
The personal information we collect from you is used solely for the purpose(s) of contacting you for queries relating to your event relevant for publication on the website.
The data will not be shared with any third party and will be held securely in accordance with current data protection legislation.
What we collect? Name of event organiser; Email address
Why? In order to advertise Maths Week Scotland events on our website.
Legal Bases On the basis of legitimate interests – you have requested that we add your event to our website.
3. Competitions Entries
The personal information we collect from you is used solely for the purpose(s) of the competition and contacting you for queries relating to your entry and to send certificates.
The data may be shared with organisations we are collaborating with to run a competition. We retain responsibility for your data and ensure that these organisations only act on our instructions.
What we collect? Name of entrant; Email address
Why? To contact you if you win or if we have any queries relating to your entry.
Legal Bases On the basis of legitimate interests – to run the competition effectively.
4. Maths Week Scotland Mailing List
If you consent to receive marketing information by email, your email address and communication preferences are held by MailerLite, the email marketing system we use to send out e-newsletters.
What we collect? Name; Email address
Why? To keep you up to date with Maths Week Scotland news and events
Legal Bases On the basis of consent – we will only send you these communications via email if we have your consent to do so.
You can choose to opt out of these marketing communications at any time by contacting us at mathsweekscot@nms.ac.uk or by using the unsubscribe link at the bottom of every e-newsletter.

Data retention periods
We will only ever collect the information we need. When we ask you to provide your personal information we will let you know why we are asking and how we will use your data, by directing you towards this notice.
We will retain your personal data until the December of the year in which we collected it (all data is deleted at the end of each calendar year) unless you have expressly chosen to opt-in to our email mailing list (see above).
If you request that we have no further contact with you, we will keep some basic information in order to avoid sending you unwanted communications in the future.

In order to make the Maths Week Scotland website easier to use and improve our service, we sometimes place small amounts of information on your computer. The right to object: in certain situations you have the right to object to our processing of your personal data and we are normally obliged to stop processing your data when requested. This right includes the right to object to our processing of your personal data for the purposes of direct marketing
The right to complain: you have the right to make a complaint to the UK Information Commissioner's Office (ICO) about our processing of your data, the exercise of your rights, and other data protection matters
The right to withdraw consent: you have the right at any time to withdraw your consent for us to process your personal data.
These rights are not absolute and may not apply in all situations or in relation to all processing activities.
Requests to exercise any of these rights should be sent to the Data Protection Officer (see 'How to contact us' below).
At any time you may request that we delete or correct your personal information by simply contacting dataprotection@nms.ac.uk.

We regularly review our privacy notice, and may make changes time to time. Any changes made will be posted to this page, and will apply from the time we post them. Please visit this page periodically, to ensure you are aware of any changes.
